What are To-Do Items?

Hedy automatically identifies and extracts action items from your conversations, creating a organized to-do list for each session. These aren't just transcribed tasks - Hedy's AI understands context, assigns tasks to the right people, and can even suggest due dates. Pro users can export these todos to external tools like Todoist, Notion, or any task manager via Zapier integration.

How To-Dos are Generated

During session processing, Hedy's AI analyzes your conversation to identify:

  • Action Items: Specific tasks mentioned or agreed upon

  • Assignments: Who is responsible for each task

  • Due Dates: When tasks need to be completed

  • Context: Related information for task clarity

Viewing Your To-Dos

  1. Open any completed session in Hedy

  2. Scroll past the Summary section

  3. Find the "Your To-Dos" section with extracted action items

  4. Each todo shows a checkbox, task description, and menu for actions

  5. Mark todos complete by tapping the checkbox

Exporting To-Dos (Pro Feature)

Pro users can export todos to external task management tools:

Manual Export

  1. Tap the three dots menu on any todo item

  2. Select "Export to Cloud" from the options

  3. The todo is sent to your configured webhook

  4. Your automation tool (like Zapier) receives and processes it

Automatic Export

  1. Go to App Settings

  2. Enable "Auto Export Todos" toggle

  3. All new todos will automatically export when sessions complete

  4. No manual action needed - todos flow directly to your task manager

Integration with Zapier

Webhook Payload

When todos are exported, your webhook receives:

  • Session ID for reference

  • Todo text with full context

  • Unique todo ID

  • Due date (if applicable)

  • Topic information for organization

  • Mention assignees by name during meetings for accurate task assignment

  • State due dates clearly for automatic extraction

Troubleshooting

No todos were extracted from my session

  • Ensure the session had clear action items discussed

  • Check that session processing completed successfully

  • Try regenerating todos (Pro feature) after reviewing transcript

  • Add more context about roles and responsibilities

Todos aren't appearing in my task manager

  • Verify your Zapier zap is turned on and configured

  • Review Zapier task history for any errors

  • Test with a manual export first before enabling auto-export

Pro tip: When setting up Zapier integration, create a test zap first with a simple action like "Create Google Doc" to verify the webhook is working. Once confirmed, you can build more complex workflows like creating tasks with labels, assigning to team members, or setting priority levels based on keywords.
