Automatically receive meeting summaries and action items delivered to your inbox after each session.

What is Auto Email Recap?

Auto Email Recap sends you a comprehensive summary of your meetings directly to your email once the transcription is complete. Perfect for staying organized and sharing meeting outcomes with team members who couldn't attend.

Getting Started

  1. Open the Hedy app

  2. Navigate to Settings β†’ App Settings

  3. Find the Auto Email Recap section

  4. Toggle the feature on

  5. Enter your email address(es)

How It Works

When you record a meeting with Auto Email Recap enabled:

  • Automatic Processing: After your session ends, Hedy processes the transcript

  • AI Summary Generation: Key points, action items, and decisions are extracted

  • Email Delivery: A formatted summary is sent to all configured recipients

  • No Manual Steps: Everything happens automatically in the background

Adding Multiple Recipients

Share meeting recaps with your team by adding multiple email addresses:

  1. In the Auto Email Recap settings, locate the email field

  2. Enter the email addresses separated by commas

  3. Each recipient will receive their own copy of the recap

Note: You can add up to 10 email recipients per account. All recipients receive the same recap content.

What's Included in the Recap

Each email recap contains:

  • Meeting Title: Based on the session name or auto-generated

  • Date and Duration: When the meeting occurred and how long it lasted

  • Key Points: Important topics and decisions discussed

  • Action Items: Tasks and next steps identified during the meeting

  • Summary: A concise overview of the entire conversation

Managing Recipients

Removing Recipients

  1. Go to Auto Email Recap settings

  2. Find the email address you want to remove

  3. Delete the email address from the field

  4. Save the change

Editing Recipients

To change an email address:

  1. Remove the old email address

  2. Add the new email address

Best Practices

  • Team Alignment: Add key stakeholders who need meeting updates

  • Project Documentation: Include project managers for automatic documentation

  • Personal Archive: Use your work email for searchable meeting history

  • Privacy First: Only add recipients who should have access to meeting content

Privacy Considerations

  • Email recaps contain meeting content, so only add trusted recipients

  • Recipients cannot modify or delete the original transcript

  • You can disable Auto Email Recap at any time to stop sending summaries

  • Past recaps remain in recipients' inboxes unless they delete them

Troubleshooting

Not receiving email recaps?

  • Check that Auto Email Recap is enabled in settings

  • Verify email addresses are entered correctly

  • Check spam/junk folders

  • Ensure you have an active internet connection when the session ends

  • Recaps are sent after transcription completes, which may take a few minutes

Recap emails are delayed?

  • Longer meetings take more time to process

  • Poor internet connection can delay sending

  • Check if transcription is still processing in the app

  • Recaps typically arrive within 5 minutes after session ends

Can't add more email addresses?

  • Maximum of 10 recipients per account

  • Remove unused email addresses to make room

  • Ensure email format is valid ([email protected])
