Migrating Your Hedy Account to EU Data Storage

Why Is This Necessary?

Hedy's EU data residency option stores all your conversation data on servers in the European Union. This option is only available during account creation and cannot be changed afterward.

Accounts created before this feature was introduced store data on US servers. To get full EU data storage, you need to create a new account, select EU during setup, and transfer your data using the export/import tools built into Hedy.

Before You Start

Make sure you have:

  • A second email address for your new account (each Hedy account requires a unique email)

  • Hedy updated to the latest version on at least one device

  • A few minutes to complete the process

Step 1: Export Your Data

The JSON export captures nearly everything from your account in a single file: sessions with transcripts and summaries, topics, highlights, to-do items, custom vocabulary, and session context profiles.

  1. Open Settings and go to Automation & Data

  2. Under Backup & Transfer, tap Export All Data

  3. Save the JSON file somewhere you can access from your device (e.g. Files, Downloads, or a cloud drive)

Tip: The JSON format preserves the most data. If you also want human-readable copies of your transcripts, use Advanced Export to export as Markdown or CSV as well.

Step 2: Create Your New EU Account

  1. Sign out of your current account

  2. Create a new account using your second email address

  3. During setup, when you see "Where should we store your data?", select European Union

  4. Complete the rest of the onboarding flow

Important: The data storage region is permanent and cannot be changed after account creation. Make sure to select European Union during this step.

Step 3: Import Your Data

Once you are signed into your new EU account:

  1. Open Settings and go to Automation & Data

  2. Under Backup & Transfer, tap Import Data

  3. Select the JSON file you exported in Step 1

  4. Review the summary showing what will be imported (topics, sessions, highlights, to-dos, vocabulary, and context profiles)

  5. Tap Start Import and wait for it to finish

The import automatically handles duplicates, so you can safely re-run it if needed.

Step 4: Transfer Your License

If you have a Pro or Lifetime subscription, it is tied to your old account. To move it:

  1. Send an email to [email protected]

  2. Include your old email address and your new email address

  3. Request that your license be transferred to the new account

License transfers are handled manually and typically take 1-2 business days.

Step 5: Recreate Remaining Settings

A few account settings are not included in the export file and need to be set up again manually:

  • Webhook configurations (if you use webhooks for automations)

  • Auto-recap email settings and recipient addresses

  • Sharing links (old shared links will stop working; create new ones as needed)

  • Notification preferences

Step 6: Verify and Clean Up

  1. Confirm your region shows as European Union in Settings > Privacy & System

  2. Start a test session to make sure recording and AI features work correctly

  3. Spot-check a few imported sessions to confirm transcripts, highlights, and to-dos came through

  4. Once you are satisfied, you can delete your old account (Account Settings > Delete Account)

What Transfers vs. What Doesn't

Included in JSON export/import:

  • Sessions with transcripts, summaries, and timestamps

  • Topics (matched by name or created automatically)

  • Highlights (with session associations preserved)

  • To-do items and action items

  • Custom vocabulary list and enabled state

  • Session context profiles (with timestamps preserved)

Needs manual setup on new account:

  • Webhook configurations

  • Auto-recap email settings

  • Sharing links (old links stop working)

  • Notification and other account preferences

  • License/subscription (contact support)

Quick Reference
